2. The Teacher Dashboard

  • Scheduled Lessons: Count of your upcoming one-on-one sessions.
  • Scheduled Classes: Count of your upcoming group classes.
  • Courses Sold: Total number of pre-recorded courses purchased by learners.
  • Total Earnings: Cumulative income earned on the platform.
  • Wallet Balance: Current available funds ready for withdrawal or platform use.

Sales Analytics

Visual representations to track your growth:

  • View graphical line graphs representing Earnings vs. Lessons sold.
  • Filter data by today, this week, this month, or across the last 12 months.

System Navigation

  • Hamburger Menu: Expand or collapse the left-side navigation panel for a cleaner workspace.
  • Home: Instantly return to your main dashboard overview.
  • Message Center: Access ongoing communication threads and group chats with your learners.

Account Controls

  • Profile Switching: Hover over your profile avatar to seamlessly switch between your Teacher and Learner profiles.

3. Profile & Account Settings

Manage your core identity and scheduling tools on Speaklay.

  • Usernames & Contact: Update your unique display username, name, and registered phone number.
  • Timezone Management: Your timezone is auto-detected. Updating it will reset your current availability calendars.
  • Google Calendar Two-Way Sync: Connect your Google account. Speaklay sessions push to Google, and external Google events block out your Speaklay availability automatically.
Important: Timezone Changes If you update your timezone, both general and weekly availability settings will be reset. You must revisit the Availability module to reconfigure your schedule.

Configuring How You Teach

  • Offline Sessions: Enable or disable your ability to teach in-person. (Note: You must add a physical address in the Addresses tab to activate this).
  • Trial Lessons: Toggle the ability to offer free, one-time trial sessions to attract new learners.
  • Booking Buffer: Set your required lead time before a student can book a session. Choose between Immediate, 12 hours, or 24 hours.

Media Gallery

Manage your visual presence by updating your profile picture and linking a YouTube introduction video to help students get to know you.

Resume & Qualifications

Build trust by adding and editing your professional background:

  • Education history and degrees.
  • Professional certifications.
  • Relevant work experience.

Skill Tags

Define specific parameters to help the right students find you in search results:

  • Accents: Specify your pronunciation style.
  • Teaching Levels: Indicate if you teach Beginners, Intermediates, or Advanced learners.
  • Learner Ages: Define your preferred age groups (e.g., Adults, Teens, Children).
  • Lesson Components: List what your lessons include (e.g., homework, syllabus).
  • Test Preparations: Tag specific exams you prep students for (e.g., IELTS, TOEFL).
  • Cookie Consent: Manage your browser tracking preferences (Necessary, Preferences, and Statistics cookies).
  • Account Deletion (GDPR): Submit a formal request to the admin to have your account and all associated data permanently deleted from the platform.

4. Availability & Pricing

To appear in learner searches, you must configure your availability. Speaklay offers two layers of scheduling:

General Availability

Set your standard weekly rhythm. Click and drag across desired time slots for any given day. This schedule repeats universally every week.

Weekly Availability

Set specific date overrides for holidays, vacations, or unusually busy weeks. If both general and weekly availability are defined for a specific date, the system prioritizes the Weekly Availability override.

Managing Your Rates

If your platform is set to Teacher-Manageable pricing, you have direct control over your income:

  • Set your subject-wise hourly prices.
  • Ensure your entered prices fall within the Admin-defined minimum and maximum ranges.
  • The system automatically calculates and displays proportional prices for different slot durations (e.g., 30 mins, 45 mins, 60 mins) based on your base hourly rate.
Tip: Admin Pricing If your platform uses Admin-Manageable pricing, the hourly price fields will be locked, and you will simply opt-in to the durations you wish to teach at the globally set rates.

5. Session Management (Bookings)

Classroom Access

When it is time for a scheduled session, locate the booking widget and click Enter classroom to launch the virtual teaching environment.

Modifications

  • Canceling: Click Cancel to terminate the booking. Note that Admin-defined cancellation windows apply.
  • Rescheduling: Submit a request to the learner to shift the session to a new time. The lesson status reverts to Unscheduled until the learner picks a new slot.

Attachments

Enhance your lessons by linking resources directly to the booking widget:

  • Lesson Plans: Attach structured outlines or assignments.
  • Quizzes: Link assessments for the learner to complete before or after the session.

Class Creation

Host multi-learner sessions by defining:

  • Class titles and SEO-friendly slugs.
  • The entry fee per student.
  • Maximum learner limits to control class size.
  • Start times and durations.

Bundling (Class Packages)

Group multiple classes together to sell as a single package. Set a one-time entry fee for the whole package. The system divides the revenue equally across the bundled classes, paying you out upon the successful completion of each individual class.

Managing Long-term Commitments

  • Recurring Lessons: Learners can purchase a block of lessons that automatically renews every 4 weeks using the same schedule.
  • Subscriptions: Learners purchase a plan covering a fixed number of lessons within a specific validity period (e.g., 10 lessons in 1 month). No payment is required per booking, as it is covered by the active subscription.

After a session, learners can flag technical or attendance issues. You must resolve these to unlock your payout.

  1. Navigate to the Reported Issues tab.
  2. Click View details to review the learner's complaint and the automated session logs.
  3. Click Resolve issue, choose an appropriate action (as defined by the Admin), and submit a comment.
Important: Escalations If a learner is unsatisfied with your resolution, they may escalate it to the platform admin for a final ruling.

6. Pre-recorded Courses

Course Builder (5-Tab Setup)

Create passive income streams by building pre-recorded courses:

  1. Basic Details: Set titles, categories, levels, and upload course preview videos.
  2. Intended Learners: Define prerequisites and target audience.
  3. Price: Set the course as Free (if under 2 hours) or Paid with a specific currency.
  4. Curriculum: The core builder (detailed below).
  5. Settings: Link certificates and tags before submitting for Admin approval.

Curriculum Management

Organize your content effectively:

  • Create high-level Sections to separate topics.
  • Add Lectures within sections.
  • Upload secure video content (powered by VdoCipher/MUX).
  • Attach downloadable Resource files to specific lectures.

Edit Requests

Once a course is published and purchased, it becomes locked to protect buyers. To update the content, you must submit an "Edit Request" to the Admin outlining the changes. If approved, you receive a temporary window to modify the course.

Bulk Resource Library

A central repository for your teaching materials. Use the bulk uploader to add multiple PDFs, documents, and media files at once. You can then quickly link these existing resources to any course lecture without re-uploading.

7. Educational Tools & Assessments

The Quiz Bank

Build a reusable repository of assessment questions. Create Single-choice, Multiple-choice, and Text-based questions. Assign point values and optional hints to each.

Quiz Setup

Assemble questions into complete quizzes to attach to lessons or courses:

  • Grading: Choose between Auto-graded (system scores instantly) or Manually-graded workflows.
  • Rules: Configure time durations, maximum allowed attempts, and pass percentage thresholds.
  • Feedback: Set custom pass/fail messages and choose whether to issue an automated certificate upon success.

Use the Notes submodule to create, view, and manage subject-specific help notes. Any note you add for a specific session is automatically synced and visible to the learners in that session, creating a collaborative space for reviewing post-class materials.

8. Financials & Wallet

Wallet Management

Your digital wallet tracks every financial movement. View a detailed ledger tracking transaction IDs, specific amounts, dates, and types (e.g., lesson ordered, refund, teacher payment).

Recharging

Add personal funds to your wallet to buy courses or book other tutors. Recharge via Bank Transfer (requires manual admin approval) or instant Payment Gateways like Stripe/PayPal.

Withdrawals

Convert your earnings into real-world cash:

  • Request payouts to a linked PayPal account.
  • Request payouts to a linked Bank Account (requires IFSC/Swift details).
  • Track the status of your requests (Pending, Approved, Rejected).

The "My Orders" tab acts as a unified history of all purchases made on the platform, whether you acted as a Teacher or a Learner.

  • View detailed breakdowns of net amounts, applied discounts, and payment statuses.
  • Click Download invoice to generate and save official PDF receipts for your personal records or tax purposes.

9. Marketing & Community

Learner Management

Access the "My Learners" directory to view a CRM-style list of every student who has ever booked you. From here, you can easily send direct messages to follow up or share resources.

Personalized Offers

Encourage retention by offering custom pricing:

  • Click Offer price next to any past student.
  • Set specific discount percentages for one-on-one lessons, individual classes, or class packages.
  • These discounts apply automatically only when that specific learner checks out.

Promote Speaklay and earn rewards.

  • Share your unique referral link via email or social media directly from the dashboard.
  • Earn Reward Points when new users register or make their first purchase.
  • Redemption: Use points during checkout, or convert/redeem your Reward Points directly into wallet credits based on the Admin's conversion rate.

Participate in the Speaklay community to boost your visibility and help others.

  • Posting: Ask questions or start discussions, utilizing the rich text editor.
  • Tagging: Organize posts using pre-defined tags. If a topic is missing, submit a request for a new tag to the Admin.
  • Subscriptions: Subscribe to topic-specific tags to receive notifications whenever new discussions are posted in your areas of expertise.

10. Frequently Asked Questions

Category 1: Teacher Onboarding & Verification

Click "Apply to Teach" in the header. You must complete 5 tabs: Personal Info, Profile Media, Subjects, Resume, and Confirmation. Your profile will stay "Pending" until the Admin approves your ID.

You must upload a clear JPG, PNG, or PDF of a government-issued ID. Ensure the text is readable and the file size is under 5MB to avoid rejection.

No. From your Learner Dashboard, click "Become a Tutor." Once approved, use the "Role Switcher" in the left navigation to toggle between your Learner and Teacher profiles.

Common reasons include a blurry Photo ID, a missing introduction video link, or a bio that is too short. Check your email for specific feedback from the Admin.

Upload your video to YouTube (set as "Unlisted" or "Public"). Paste the link into your Profile Media tab. Ensure the video clearly shows your face and demonstrates your teaching style.

Category 2: Schedule & Availability

General availability is your permanent weekly schedule. Weekly availability allows you to override specific dates (e.g., taking next Wednesday off). The system always prioritizes Weekly settings.

Go to your Weekly Availability calendar. Click on the time slots you are already "available" for to remove them for those specific dates. Click Save.

Ensure you have clicked "Save" on the calendar page. Also, check if your profile is fully "Approved" by the Admin; unapproved profiles do not show a calendar to learners.

If you update your timezone in Account Settings, all your existing availability is deleted. You must re-set your calendar to match your new local time immediately.

It is the notice period you require before a lesson. If set to "24 Hours," a student cannot book a lesson that starts in 5 hours; it must be at least 24 hours away.

Category 3: Lessons & Classroom Management

Go to your Dashboard or the "Manage Lessons" page. An "Enter Classroom" button will appear a few minutes before the scheduled start time.

Wait in the classroom for at least 15-20 minutes. The system logs your attendance. If the student never arrives, you may be eligible for payment depending on the platform's cancellation policy.

Go to "Scheduled Lessons" and click "Reschedule." Enter a reason. The lesson becomes "Unscheduled," and the student must pick a new time.

You can cancel via the "Cancel" button, but only within the "Cancellation Window" set by the Admin. Frequent last-minute cancellations may affect your profile ranking.

Go to "Manage Lessons" > "Completed." You can still click "Attach Lesson Plan" or "Attach Quiz" to send resources to the student post-session.

Category 4: Group Classes & Packages

It is a bundle of multiple group classes sold for a single price. Learners pay once and are automatically enrolled in every class within that package.

No. Once the "Max Learners" limit you set is reached, the "Book" button is disabled. You would need to create a new class to accommodate more students.

Once a learner has booked a seat in a class, the "Edit" button is disabled to prevent changing the price or time on a student who has already paid.

The system automatically creates a Group Chat in your "Messages" submodule for every group class. Any message sent there reaches all enrolled learners.

Category 5: Earnings, Wallet & Withdrawals

Funds are moved to your wallet once a lesson or class is marked as "Completed" and no issues are reported by the learner.

Go to History > Withdrawals. Click "Request Withdrawal." You must have a minimum balance (set by Admin) and have your PayPal or Bank details saved in your Payment settings.

These are funds for lessons that have been booked but not yet completed. The money is held by the platform until the lesson is successfully delivered.

The Admin or the payment gateway (PayPal/Bank) may charge a fee for processing the transfer. This amount is deducted from your total withdrawal.

Yes. Your wallet balance is unified. You can use your teacher earnings to book lessons as a learner without needing to add more money.

Category 6: Quizzes, Courses & Notes

First, create questions in the "Quiz Questions" bank. Then, go to "All Quizzes" to bundle those questions into a quiz and set a pass percentage.

In your Quiz or Course settings, toggle "Offer Certificate" to "Yes." The system will automatically generate a PDF certificate for the learner once they pass.

If your pre-recorded course is already published, you cannot change it directly. You must submit an "Edit Request." Once Admin approves, you get a temporary window to update your videos or text.

Notes created in the "Notes" submodule during a session are shared with all learners in that session. They are saved in their respective "Notes" submodule for future reference.

Category 7: Support & Disputes

Go to "Reported Issues." You can offer a refund, a partial refund, or a replacement lesson. If you cannot agree, click "Escalate to Admin" to have the site staff mediate.

Go to "Manage Lessons" and click the student's name, or use the "Messages" submodule to search for the learner and start a chat.

Use the "Help" or "Contact Us" link in the footer. Be sure to provide the Lesson ID and a screenshot of any error messages you see.

Category 8: Marketing & Growth

Go to "My Learners," find the student, and click "Offer Price." You can set a custom percentage discount that only applies to them.

Copy your link from "Refer and Earn." If a new user signs up and makes a purchase through your link, you receive Reward Points which can be converted into Wallet cash.

High ratings, quick response times to messages, and a complete profile (including a video) improve your ranking. Staying active on the Forum also increases your visibility.
